Well because Notion can do SO many things, it can be kind of overwhelming at first. Its very easy to use once you know how to use it but getting started with an empty page can be daunting. I worked with this luxury accommodation provider to find a way to streamline this whole process. How can we turn this business activity from a 10 hour project per influencer stay, to a 10 minute project? It’s a big task but by building a well-thought out Notion dashboard we managed to completely change the way she works with content creators. Now this big overwhelming project every time an influencer comes to stay becomes an email or two. That’s pretty awesome if you ask me.

A template or basic Notion accommodation set up won’t factor in how you operate your business or if you collaborate with people, outsource tasks or how it factors in your personal life. One client of mine had me combine their personal calendar with their accommodation’s calendar as they realised they were checking two calendars. This calendar was now organised with different task types, priorities and any resources needed to complete the task. This instantly saved a few hours a week that was time spent understanding what her day looked like and what was important to get done.
Notion Dashboard with Instructions
Another great project I got to work on with a client was a instruction database for their cleaners. This accommodation worked with a number of cleaner contractors and found they often had new cleaners, new construction workers, new maintenance teams coming in an out of the property. Explaining the same tasks over and over again to different people was extremely inefficient and a waste of time and small business owners should utilise the power of an efficient Notion seutp for business. We collaborated on creating a “instruction database”. Sounds a bit weird but basically all the household appliances, cleaning supplies or maintenance items (pool pumps, aircon, etc) had a QR code printed on it. This QR code went to a custom Notion page with instructions on how to use that item, how to fix it if it was broken and where to buy supplies for it if it was needed.
This setup even linked to a inventory page where contractors and cleaners could add any inventory items that were running low so the accommodation owner knew what to buy. No more “oh oh, we’re out of washing detergent” moments. This cuts back again several hours per week on inventory checks and communication with different contractors on how to use appliances and instructions for how to clean certain areas. Just as another quick example, the spa needed to be cleaned in a very particular way (so to not break the spa) and this had to be explained EVERY TIME a cleaner was to clean the spa. If that was once every 2 weeks and requires 30 minutes – 1 hour of assisting that’s a lot of time every year wasted on something that can be streamlined. The solution was a QR code on the spa that took the cleaner to a Notion page with a video recorded with the instructions on how to clean the spa properly. Now the cleaner can watch the video multiple times, see a visual list of the correct cleaning tools and detergents to use to not break the spa and no communication errors were made as it was all clearly described on this one Notion page.
